Privacy Policy
Last updated: 21 October 2026
Klavia (“the app”, “we”, “us”) is a piano-practice app published by Klavia. This policy explains what the app does with your information.
In short: we don’t track you, we don’t show ads, and we don’t sell any data. Your imported music stays with you.
Information the app handles
- Sheet music you import. When you import a PDF, the app sends that file to our conversion service to turn it into playable notation. The file is processed to produce the notation and is not retained after conversion. On iPhone and iPad, a file that failed to convert is kept only if you choose to send it (see Files you choose to send). The Windows app does not upload a PDF that failed to convert. It is not linked to your identity and is never used for advertising or profiling. MusicXML/.mxl files are converted on your device and are not uploaded.
- Microphone. Optional. If you choose the microphone as your practice input, the app listens in real time only to detect the notes you play. Audio is processed on your device and is never recorded, stored, or transmitted.
- Bluetooth. Used only to connect a MIDI keyboard. No data is collected.
- On-device data. Your imported songs and app settings are stored locally on your device. They are not uploaded except as part of the conversion described above.
- Purchases. If you buy Premium, the store you bought it from (Apple, Google, or Microsoft) processes the payment. Klavia does not receive your card number. The store tells the app whether that account has an active subscription.
What we do NOT do
- No analytics, advertising, or third-party tracking SDKs.
- No sale or sharing of personal data.
Service providers
The conversion service runs on Google Cloud (Cloud Run) acting only as a processor to convert the file you submitted. Files are transmitted over encrypted HTTPS and are not retained after the conversion completes, except files you choose to send as described below. Our servers are in the United States (Google Cloud, us-central1).
Files you choose to send
On iPhone and iPad, if a PDF can’t be converted, the app may offer to send it to us. We only receive it if you choose Send this PDF, or if you set Failed PDFs to Send automatically in Settings. The default is to ask you each time, and you can choose Don’t send. The Windows app does not offer this and does not upload a PDF that failed to convert.
- How long: up to 30 days, then it is deleted automatically.
- What for: only to find and fix problems in our converter and to test the fix. We don’t share, sell or publish it, and never use it for advertising.
- Where: a private location in Google Cloud in the United States that only the developers who run Klavia’s servers can open.
- Not linked to you: we don’t store your name, device identifier, IP address or the PDF’s file name together with the file. There are no accounts.
- Scans and photos are never kept. Only send music you have the right to use.
- Deleting a file sooner: because a file isn’t linked to you, we can’t look it up by who you are. After sending, the app shows a reference code. Email it to us at contact(at)klavia-piano.com and we will delete that file.
- Changing your mind: set Failed PDFs to Don’t send in Settings to stop future sends. Files already sent are deleted by the 30-day rule.
For people in the EEA and the UK, the legal basis is your consent, which you can withdraw at any time as described above.
Server logs
Our conversion server keeps short technical logs for up to 30 days to fix problems: time, file size, page count, an error code, a one-way fingerprint of the file, and the name of the software that created the PDF. The hosting platform also records the request’s IP address in its standard request log. Logs never contain the file or its content.
Children’s privacy
The app is not directed to children under 13 and does not knowingly collect personal information from them.
Your choices
- Delete any imported song from within the app’s library at any time.
- Turn off microphone access for Klavia in the system settings: iOS Settings ▸ Privacy & Security ▸ Microphone, Android Settings ▸ Apps ▸ Klavia ▸ Permissions, or Windows Settings ▸ Privacy & security ▸ Microphone.
- On iPhone and iPad, choose what happens to a PDF that fails to convert (Failed PDFs in Settings): ask each time, send automatically, or don’t send. The Windows app does not send failed PDFs.
Data retention & security
Uploaded files are deleted after conversion, except files you choose to send (kept up to 30 days, see above). Data stored on your device remains until you delete it or remove the app. All network traffic uses encrypted HTTPS.
Changes
We may update this policy; material changes will be reflected by the “Last updated” date above.
